Privacy Policy

1. Introduction
The Cheer Voice, LLC ("Company," "we," "us," or "our") operates the Cheer Music App and related services (the "App"). The App delivers custom cheer music, licensing agreements, an 8-count routine builder, and a marketplace to cheer coaches, choreographers, producers, event producers, and the teams they serve.
This Privacy Policy explains what information we collect, how we use and share it, and the choices and rights you have. By creating an account or using the App, you acknowledge that you have read and understood this Privacy Policy.
This Privacy Policy is incorporated into and forms part of our Terms of Service and End User License Agreement (collectively, the "Terms"). Your use of the App is also governed by the Terms, and the music licenses we deliver govern your right to use specific tracks. If there is a conflict between this Policy and a signed agreement you have with us, the signed agreement controls for its subject matter.
2. Information We Collect
Information you provide to us
Account information: your name, email address, password, role (coach, admin, producer, event producer), and team, program, or company details.
Content you submit: audio files, 8-count sheets, routine details, track titles, messages, revision requests, and license information.
Payment information: purchases of coins, custom orders, and packs are processed by our third-party payment processor (Stripe). We do not store full card numbers; we receive limited transaction details such as amount, status, and the last four digits.
Support communications: messages you send us and the contents of those communications.
Information collected automatically
Device and usage data: device type, operating system, app version, identifiers, log data, and how you interact with features (for example, tracks played, sheets created, and orders placed).
Locally stored data: to support offline playback, the App stores tracks, licenses, and preferences on your device. You can clear this from your account screen at any time.
Information from third parties
If you sign in with Google, we receive basic profile information (such as your name and email) needed to create or access your account.
3. How We Use Your Information
We use the information we collect to:
Provide, operate, and maintain the App and your account.
Deliver custom music, premade tracks, and licensing agreements to the correct recipients.
Process payments, orders, coin balances, and producer payouts.
Communicate with you about your account, orders, updates, and support requests.
Maintain security, prevent fraud and abuse, and enforce our Terms.
Comply with legal obligations and respond to lawful requests.
Understand usage and improve the App's features and reliability.
4. We Do Not Sell Your Personal Information
We do not sell your personal information for money, and we do not "share" it for cross-context behavioral advertising as those terms are defined under California law. We do not use children's personal information for targeted advertising. We disclose information only as described in this Policy, including to the service providers that help us operate the App.
5. How We Share Information
We share information only in the following circumstances:
Service providers: vendors that help us run the App, such as payment processing (Stripe), email delivery (e.g., SendGrid), and cloud hosting and storage. They may process information only on our behalf and under contract.
Within the platform: to deliver music and licenses, limited information is shared between the parties to a transaction — for example, an admin or producer fulfilling an order, a coach receiving a track, a choreographer collaborating on a routine, or an event producer verifying a license at a competition.
Legal and safety: when required by law, subpoena, or legal process, or to protect the rights, property, or safety of our users, the public, or us.
Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.
6. Children's Privacy (COPPA)
The App serves the cheer community, and we recognize that cheer athletes may include children under the age of 13. We comply with the Children's Online Privacy Protection Act ("COPPA").
We do not knowingly collect personal information from a child under 13 without verifiable parental consent. Where a coach, parent, or legal guardian provides a child's information (for example, as part of a team roster, routine, or order), they represent that they are authorized to do so and have obtained any consent required.
When we collect personal information from children under 13, we limit collection to what is reasonably necessary to provide the service, we do not condition a child's participation on disclosing more information than is necessary, and we do not use that information for targeted advertising or sell it.
Parents and guardians have the right to review the personal information we have collected from their child, to request that we delete it, and to refuse to permit its further collection or use. To exercise these rights, contact us at Win@AmericanCheerMusic.com. We will take reasonable steps to verify the identity of the requesting parent or guardian before acting on the request.
7. Your US Privacy Rights
Depending on where you live, you may have some or all of the following rights regarding your personal information:
Right to know and access the personal information we collect and how we use and disclose it.
Right to correct inaccurate personal information.
Right to delete personal information, subject to legal exceptions.
Right to opt out of the sale or sharing of personal information (note: we do not sell or share your personal information).
Right to limit the use of sensitive personal information.
Right to non-discrimination for exercising your privacy rights.
California residents (CCPA/CPRA)
California residents may exercise the rights above. You may submit a request by emailing Win@AmericanCheerMusic.com. We will verify your request before responding and will not discriminate against you for exercising your rights. You may use an authorized agent to submit a request on your behalf, subject to verification.
Other US state residents
Residents of states with comprehensive privacy laws (such as Virginia, Colorado, Connecticut, Utah, and others) may have similar rights to access, correct, delete, and obtain a copy of their personal information, and to appeal a denied request. Do Not Sell or Share My Personal Information
We do not sell your personal information and do not share it for cross-context behavioral advertising. Because of this, we do not offer a separate opt-out for sale or sharing — there is nothing to opt out of.
8. Data Retention
We retain personal information for as long as your account is active or as needed to provide the App, comply with our legal obligations, resolve disputes, and enforce our agreements. You can delete your account from your account screen, and you can also request account deletion at any time. Some information may be retained where required by law or for legitimate business records (for example, transaction history).
9. Data Security
We use reasonable administrative, technical, and organizational safeguards designed to protect your information, including:
Encryption in transit — all traffic between the app and our servers is protected with industry-standard TLS/HTTPS.
Password protection — account passwords are stored only as salted, one-way hashes (bcrypt); we never store or transmit your password in readable form.
Encryption of sensitive authentication data at rest — secrets such as two-factor authentication (2FA) keys are encrypted in our database, and backup/recovery codes are stored only as one-way hashes.
Secure on-device storage — on mobile, your login session tokens are kept in the device's encrypted secure storage (iOS Keychain / Android Keystore).
Access controls — access to personal information is limited to what is needed to operate the service.
No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please keep your account credentials confidential and notify us promptly of any suspected unauthorized use.
10. Where Information Is Processed
We are based in the United States, and we store and process information in the United States. If you access the App from outside the United States, you understand that your information will be processed in the United States, where data protection laws may differ from those in your jurisdiction.
11. Cookies, Local Storage & Tracking
On the web, we use local storage and similar technologies to keep you signed in, remember your preferences, and enable offline features. We do not use third-party advertising or cross-site tracking cookies. You can clear local data through your browser or the App's account screen.
12. Third-Party Services & Links
The App relies on third-party services such as Stripe (payments), email delivery providers, cloud hosting, and Google sign-in. Your use of those services is also subject to their own privacy policies. We are not responsible for the privacy practices of third parties.
13. Your Choices
Update your account information from your account screen, or contact us for help.
Clear downloaded tracks and offline data from your device at any time.
Opt out of non-essential communications by following the instructions in those messages or contacting us.
Delete your account, which removes your access and associated personal data subject to legal retention requirements.
14. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page. If we make material changes, we will take reasonable steps to notify you, such as through the App or by email. Your continued use of the App after an update means you accept the revised Policy.
